Data Processing & Subprocessors
This page describes how VaultCEO processes customer information and identifies the third-party service providers ("Subprocessors") that may assist in delivering the Services.
VaultCEO is committed to transparency regarding the handling, storage, transmission, and protection of customer data.
Our Role
VaultCEO generally acts as a Data Processor with respect to Customer Data.
Customers remain the Data Controllers and determine what information is uploaded, who has access, how information is used within their organization, retention requirements and internal compliance obligations.
VaultCEO processes data solely to provide the Services.
Categories of Data Processed
Depending on how customers use VaultCEO, the following categories of information may be processed.
- Account Information: Name, email address, job title, user role and company information.
- Financial Information: Invoices, expenses, commitments, treasury balances, cash flow forecasts, financial reports and forecast assumptions.
- Operational Information: Client information, internal notes, categories and workflow records.
- Technical Information: IP addresses, browser information, device information, session logs and usage analytics.
Data Processing Purposes
VaultCEO processes data solely for legitimate business purposes.
- Service Delivery: Providing platform functionality and customer access.
- Security: Protecting accounts and detecting unauthorized access.
- Platform Performance: Monitoring reliability and application health.
- Customer Support: Responding to inquiries and troubleshooting issues.
- Product Improvement: Improving usability, functionality and reliability.
Data Residency
Customer data may be stored and processed in multiple jurisdictions depending on infrastructure and service provider requirements.
VaultCEO uses reputable cloud providers that maintain appropriate technical and organizational safeguards.

Supabase
Purpose: Database infrastructure, authentication, data storage and real-time functionality.
Data Categories: User accounts, financial records and application data.

Data Categories: Technical logs, performance metrics and application requests.

Purpose: Transactional email delivery.

Purpose: Payment processing and subscription management.

VaultCEO does not store full payment card information.

AI Processing
VaultCEO may provide AI-assisted capabilities.
Customer data used to generate AI outputs remains customer-owned.
VaultCEO does not sell customer data, does not share customer data with advertisers, does not use customer financial records to train public AI models and does not disclose customer information to other customers.
International Transfers
Where required, data may be transferred internationally between infrastructure providers and processing locations.
VaultCEO takes reasonable measures to ensure such transfers are protected and lawful.
Security Measures
Subprocessors are selected based on factors including security practices, reliability, industry reputation, operational maturity and data protection commitments.
VaultCEO regularly reviews its infrastructure and service providers.
Subprocessor Changes
VaultCEO may add or replace subprocessors from time to time.
